How to Write an Amazon Seller Appeal Letter

An Amazon seller appeal should answer the issue in the Performance Notification, explain the position your records support and supply the evidence Amazon requests. A persuasive letter cannot replace missing invoices, verification documents or completed corrective work.

This guide explains how to organize a seller account or listing appeal. It is not a buyer-account or Amazon Flex appeal form. Use the response route provided for your selling account and the particular violation.

1. Read the actual reason and request

Collect the Performance Notification, affected marketplace and ASINs, Account Health entry, earlier appeals and all of Amazon’s replies. Separate the allegation from what you have verified. Account suspension, listing removal, identity verification and an IP complaint can call for different evidence and submission formats.

2. Choose the response before writing

  • Supported dispute: identify the specific error and the records that show it.
  • Document request: supply the requested authentic records and explain any relevant mismatch or gap.
  • Established operational issue: explain the cause, completed corrections and controls that address recurrence. Use a Plan of Action where the issue and response route call for one.

Do not admit an unproven violation to sound cooperative. Equally, do not deny a confirmed issue when your own records show what happened. If the facts remain unclear, resolve the missing information before choosing a position.

3. Open with the case and the requested review

Identify the seller account or ASIN, marketplace, complaint or case reference and purpose of the response. A useful opening is: “We are responding to [Performance Notification date/reference] concerning [account or ASIN]. Our submission addresses [specific issue] and includes [relevant records].”

Replace every placeholder with a verified fact. Praise for Amazon or a general promise to improve service adds little if the actual concern remains unanswered.

4. Connect each point to evidence

Use short sections with descriptive attachment references. Explain which invoice line covers the affected product, which order record establishes the timeline or which inspection record supports a correction. Check that names, product identifiers, quantities and dates are consistent.

Address every issue Amazon raised. Do not automatically send a separate letter for each issue; follow the structure and submission route in the case. Preserve original documents and do not invent actions, supplier details or case numbers.

5. Describe completed work accurately

For an established problem, distinguish what has already changed from what you plan to do. State the relevant control, who owns it and how it will be checked. A promise to “train staff” is less useful than an actual training record and the specific process it supports.

If the case needs a fuller corrective response, use the Plan of Action guide. A POA does not replace required authenticity, identity or compliance records.

6. Review, submit and keep the record

Read the submission alongside Amazon’s request. Remove contradictory statements, unsupported claims, unrelated documents and placeholders. Follow the current Account Health or Performance Notification instructions, which may present a questionnaire, document upload or appeal field rather than a letter attachment.

Save the submission and acknowledgement. Meet any stated deadline, but do not submit an inaccurate response simply to be first. Amazon staff guidance describes the available appeal formats and the need to support a claimed error with evidence.

Please review the affected listing in light of this evidence and the completed corrections. We can provide additional relevant records if requested.

Using an Amazon appeal template without creating new problems

A free or paid template can help arrange the response, but it cannot establish what happened in your business. Replace placeholders, remove irrelevant admissions and check every statement against your records. A longer template or a list of possible causes is not automatically a stronger submission.

  • Use one consistent account of the facts across the letter and attachments.
  • Keep separate headings for the issue, supporting evidence and relevant corrections.
  • Do not claim a recall, supplier change, refund, staff training or inspection that did not happen.
  • Do not use a fictitious supplier address, invoice number or product identifier as if it were real.
  • Answer the current request before adding background information.

What to do when Amazon rejects an appeal

Compare the rejection with your submission. Identify a missing record, an unanswered point or an unsupported conclusion. Address that gap in the next response, keeping the case history consistent. If the reason remains unclear, seek clarification through the route available in your account.

Repeatedly resending the same text is unlikely to resolve a documentary gap. Keep all versions and responses so the next reviewer can assess the complete history. Submission, acknowledgement and reinstatement are different events.

Do not rely on a generic waiting period. Check the specific violation and account status. A violation’s display period does not by itself mean selling privileges have been restored.

Are withheld funds released after 90 days?
